Summary:

The School / Front Desk Manager exercises independent judgment and discretion in the performance of administrative management to staff, teachers, parents, and students of the School of Ballet Arizona (SBAZ), oversees all front reception staff, and organizes and coordinates front desk operations and procedures in order to ensure organizational effectiveness and efficiency.

Responsibilities Include but are not limited to:

Administration
• Oversee hiring, training and scheduling of all front office / reception staff
• Approve all SBAZ payroll related items
• Collect and deposit daily cash receipts
• Authorize all studio rental contracts
• Manage collection of past due customer accounts

Front Desk & Reception
• Train and manage the front desk staff (SBAZ) and volunteers (BAZ).
• Maintain Master Calendar in Outlook and ensure front desk is aware of all scheduled meetings/events
• Additional duties as may be assigned

Scheduling Teaching and Musical Staff Co-ordination
• Create and maintain schedules for teaching and musical staff
• Make arrangements for substitute staff as required
• Assist in the hiring process for any new teaching/music staff

Registration / Enrollment
• Coordinate with the School Director and Director of Marketing to ensure timely completion and distribution of all SBAZ registration materials
• Prepare, coordinate and distribute SBAZ registration documents and packages
• Supervise the enrollment process and placement of students
• Ensure timely and accurate enrollment reports for all programs
• Coordinate ongoing communication to students and their families regarding school issues that directly affect them (i.e. class cancellations, schedule changes, faculty/staff change
• Coordinate SBAZ/BAZ student ticket discount program
• Authorize and track all financial assistance packages
• Oversee all foreign student visas through the SEVIS database

Performances
• Oversee administration of School Spring Performance
• Create and distribute rehearsal schedules
• Recruit, train and manage parent volunteers
• Oversee administration of student related fundraising events
• Represent SBAZ at all Ballet Arizona performances

Essential Skills and Experience:
• Bachelors Degree or equivalent required
• 3-5 years previous or related experience
• Strong experience with databases and Microsoft Office applications
• Skilled in written and oral communication
• Ability to effectively meet deadlines while maintaining a high level of accuracy
• Ability to manage projects with minimal supervision
• Results oriented and deadline driven
• High standards of customer service required
